Tips and guidance for User Onboarding when SSO is enabled. It also applies to User Onboarding with native piplanning.io credentials too.

Automate piplanning.io User Onboarding via email

Scenario

You are tasked with quickly onboarding all the users that are participating in an upcoming PI Session, and do it in a secure way.

Advice

Follow the steps below to:

  • Invite new Users to join piplanning.io

  • Have them added to Team they belong to simultaneously at the same time

  • Have their User account automatically created after they successfully login and authenticate (either by SSO or using native credentials).

The steps to follow are:

  1. Navigate to the Team page (RTE Cockpit > Organization > Team)

  2. Scroll down to the Add members > Invite new section

  3. In the Email addresses field, enter in the email address for all new Users

  4. Click Save

What happens next; actions the User needs to perform

  1. An email invitation will be sent to these User/s

  2. The User will open the email and click on the link to complete the Onboarding process. The link in the Email invitation will guide the User to authenticate using SSO or by creating a password if using native credentials.

  3. When the User authentication is completed, the system will automatically create the new User account.

  4. The new User account is now created, and they are automatically a member of the Team they were added too. The default Role is Team Member too.

  5. The User can now login and access any PI Session that the Team they belong to is participating in.

Assumptions

  • A User with the PI Admin or Admin role needs to perform these tasks.

  • Ensure the RTEs, Team Coaches or ScrumMasters are onboarded, and granted the PI Admin role.

Alternative Method for User Onboarding (bulk User onboarding)

The alternative method for onboarding new Users in piplanning.io is to share the direct link with Users and have them self-register via the direct link. The details are:

  1. Navigate to the Users page: RTE Cockpit > Users

  2. Copy the direct link at the top of the page which is unique for your organizations piplanning.io instance.

  3. Share that link with new Users: post it on an internal intranet or wiki page, Slack or email it to the Users.

  4. What's next after they click the link?

    1. The new Users click on the link, and then be redirected to authenticate via SSO or to create native credentials. After the authentication is successful the User is automatically created in piplanning.io.

    2. Admins will need to update the Users Role if it is not the default Member role.

    3. Admins or PI Admins can update their Team assignment (assign them to a Team).
