Work Item Selector

Dynamically search and plan team-level Work Items (e.g. User Stories, Defects) from the ALM (Jira, ADO or Rally) team Backlog area. Drag-and-drop unplanned or unfinished Work Items onto the Team Board.

Current Scope of the Work Item Selector :

  • Support for Jira ALM Connections only. Support for ADO and Rally ALM Connections coming soon.

  • Support for single Jira Project team mapping's only. That means a 1:1 mapping - 1x piplanning.io Team:1x Jira Project, on the ALM Connection > Team Mapping.

  • Currently the limit on the number of backlog work items that can be fetched from the ALM tool is 100 records. Tip: Use the filters in the Work Item Selector to find specific work items if your team backlog has great than 100 backlog items.

Purpose of the Work Item Selector

The Work Item Selector allows teams to dynamically search the teams ALM tool backlog area, and dynamically drag-and-drop work items onto the Team Board to schedule those items into the PI.

When preparing the Team Board for the next PI Event, or during the PI Event, or during Sprint Planning ceremonies, use the Work Item Selector to quickly and easily:

  1. See all the unplanned Work Items in your Team's Backlog in the connected ALM tool.

  2. Drag-and-drop any of those Work Items onto the Team Board in piplanning.io so they can be planned/scheduled into an Iteration/Sprint.

  3. Filter the [ALM] backlog area by parent Features which are scheduled in the PI Session (on the ART Backlog Board), or by Work Item Type, or Assignee*.

How to use the Work Item Selector

  1. Launch the Work Item Selector from the top-left menu toolbar

  2. The Work Item Selector modal will appear on the left-side of the screen. It automatically fetches all work items from the Teams backlog area in the connected ALM tool based on the following criteria:

    Work Item Selector > Filter Query for reference.

    1. The work item is stored in the Jira Project, ADO Area Path or Rally Project for this Team (which is governed by the ALM Connection > Team Mapping).

    2. The work item type is configured to sync with a sticky note on tab #3 Team Board in the PI Session.

    3. The work item is either unplanned or not (!=) a Sprint or Iteration configured for this PI Session (tab #11 Iterations)

  3. The Work Item Selector is divided into two (2x) areas:

    Two areas in the Work Item Selector: ART-level work items and Team-level work items

    1. ART-level work items section - visualize the ART-level Features that are assigned to the Team and planned for this PI. Note: The Feature will only appear in this section if it is NOT mirrored on the Team Board.

    2. Team-level work items section - visualize a list of all Team-level work items (Stories, Defects) that are in the Teams ALM tool backlog area.

      1. Filter the list of team-level backlog by parent Feature (see screenshot above), Assignee or Work Item Type.

  4. Select a Work Item, and drag-and-drop it onto the Team Board, and then dynamically plan it into an Iteration/Sprint.

    Note: The Iteration/Sprint field on the Team-level work items will be automatically updated in the ALM tool.

IMPORTANT Work Item Selector Functionality

  • Only the top 100 results (unplanned work items from the Team's ALM backlog area) are returned.

  • Filter the results based on Work Item Type, Assignee or linked parent Feature to find other backlog items that are not in the top 100 results returned from the ALM tool.

How to return a Work Item sticky note back to the Backlog

If you decide that the work item needs to be unplanned and returned to the Backlog in the ALM tool (so it will then reappear back in the Work Item Selector), then simply do the following:

  • Click on the Work Item sticky note - bring into focus - or use the multi-select to select multiple Work Item sticky notes.

  • The sticky note toolbar appears, select the Remove button from the Sticky Note toolbar.

How to return a Work Item to the ALM tool backlog (Work Item Selector)

The Work Item sticky note will be removed from the Team Board, but it will remain in the backlog area of the ALM tool. The Sprint/Iteration field on the Work Item is simply set to null, and it remains in the ALM tool. You can find/retrieve that work item again from the Work Item Selector if a decision is made to pull that item back into the teams plans for the PI.
